Client Upgrade Resources and Responsibilities

Below are specific roles and responsibilities that need to be accounted for by the client organization prior to beginning the upgrade process. These may be FTE or contracted resources, but it is the client's responsibility to ensure the duties will be resourced.


Client Project Manager

1 FTE - 100%

    *Oversee and coordinate all aspects of the upgrade project and it's deliverables ensuring a high quality upgrade
*Actively participate in upgrade planning and analysis to determin dates/times and resources
*Execute client upgrade tasks and activities as outlined and delegated in project plan
*Communicate all activities of the upgrade to Allscripts Project Manager
*Coordinate and assist Trainer with identifying end-user support /education needs (i.e. coordinating scheduling)
*Facilitate all workflows are documented for v10 and v11
*Confirm all Test Plans are developed for testing
*Perform process, policy, and procedure definition
*Develop Productive Use/Upgrade to live plan in conjunction with Allscripts.
*Acceptance of upgrade to test and live (sign off on CCF)
*Act as primary client contact to Allscripts during the upgrade period
*Facilitate decision making within your organization
*Facilitates communication across departmental project teams and end users

Technical Analyst/IS Lead

1 FTE - 100% (dedication scalable based on project size)

    *Oversee all technical aspects of the upgrade project
*SQL Upgrade to test and live
*Act as primary client contact to Allscripts Technical Resources
*Drive technical aspects of upgrade project to meet key milestones as documented in the project plan
*Confirm proper system backups meet or exceed Allscripts recommended strategy
*Ensure that system protection software is up to date
*Perform daily system maintenance (Monitoring, backups, etc.) during the upgrade period
*Validate network and hardware meets the upgrade requirements specifications as outlined in the SES requirements for v11
*Works with Allscripts network team to provide remote connectivity
*Maintain environment security
*Assist with initial setup of servers
*Ensure the PC’s and PDAs are supported
*Provide PC support to end users


System Analyst

2 FTE - 100% (dedication scalable based on project size)

    *Attends required v11 Upgrade Training
*Review upgrade features of the Enterprise EHR system
*Use software in a “hands-on” fashion during configuration, testing, and any end-user training
*Perform system testing to ensure upgrade configuration supports clinical flows
*Attend weekly meetings
*Work with Allscripts Upgrade Consultant in setup and configuration of the system

Training Coordinator/Trainer

2 FTE - Dedication scalable based on project size

    *Attends required v11 Upgrade Training
*Review upgrade features of the Enterprise EHR system and re-design of workflows
*Participate in creation of a method to deliver the new features and functions of Enterprise EHR v11 to the end-user community
*Update and revise existing end user training materials and workflow documentation to reflect upgrade features
*Coordinate, schedule, and conduct end-user training on new features and functionality

Physician Champion (s)

2 PT (scalable)

    *Participate in review of the Enterprise EHR upgrade feature set
*Lead workflow redesign and rollout efforts within the organization
*Signoff on all v11 workflows prior to testing
*Promote project goals/strategy to department to enhance adoption by physicians and staff
*Participate in workflow testing prior to the upgrade of the live environment
*Review internal training curriculum and materials
*Support of upgrade project team in any area requiring physician input (i.e. design, configuration, workflow proof of concept)

Clinical and Ancillary Super Users

3 FTE - Dedicated scalable)

    *Contribute to defining workflows and configuration of the system based on the departmental clinical needs
*Participate in creation of a method to deliver the new features and functionality of Enterprise EHR v11 to the end user community
*Participate in workflow testing prior to the upgrade of the live environment.
*Support of upgrade project team in any area requiring ancillary input (i.e.: design, configuration, workflow proof of concept)
*Assist Trainer in creation of end-user materials
*During go-live be accessible to end-users in their areas for questions or problems
